What we collect and why
Enquiries
When you use our contact form we collect your name, email address, company, phone number (optional), the service and programmes you are interested in, and your message. We use this to respond to your enquiry and, where you ask us to, to prepare a proposal or quotation. Our lawful basis is our legitimate interest in responding to business enquiries, and taking steps at your request before entering into a contract.
Quotations, pricing tools and programme shortlists
If you generate a quotation, use the team pricing calculator or download a programme shortlist, we process the details you enter, including your email address if you ask for a copy to be sent to you. We use this to provide the quotation or document and to follow up on your enquiry. Our lawful basis is our legitimate interest in responding to requests for pricing and information.
Concierge chat
If you use the Concierge chat on our website, the messages you type are processed by our chat service provider to generate replies and are kept so that we can review and improve the service. Please do not share sensitive personal information in the chat. Your browser stores a session reference so that the conversation continues as you move between pages. Our lawful basis is our legitimate interest in answering questions about our services.
Booking a meeting
If you book a meeting with us, our booking provider collects your name, contact details and the time you choose so that we can arrange and hold the meeting. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in managing appointments.
Online courses, assessments and newsletter
Our online learning platform, training needs assessment, newsletter and psychology assessments operate on separate websites that we link to. Each explains how it uses personal data when you sign up or take part.
Website analytics and advertising measurement
We use Google Analytics to understand how visitors use our website, and Google Ads conversion measurement to understand whether our advertising leads to enquiries. These services use cookies and similar technologies and process information such as pages visited, approximate location, device and browser details, and an online identifier. Where the law requires it, we rely on your consent for these cookies. Our cookie policy explains this in more detail.
Security and website operation
Our website host, our content delivery and security service, and our security software process technical information such as IP addresses and request details to deliver the website and protect it against attacks. Our lawful basis is our legitimate interest in keeping the website secure and available.
Who we share data with
We share personal data only with service providers who help us run our business, under contracts that require them to protect it and use it only on our instructions. These include our form provider (Cognito Forms), our email and hosting providers, our booking provider (Trafft), our chat service provider, video hosting (Vimeo), Google (analytics and advertising measurement) and our security providers (Cloudflare and Wordfence). We may also disclose data where the law requires it, or to protect our rights.
We do not sell personal data.
International transfers
Some of our service providers are based outside the UK, including in the United States. Where personal data is transferred outside the UK, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or the UK-US Data Bridge where the provider is certified.
How long we keep data
We keep personal data only for as long as we need it for the purposes above. We keep enquiries, and the records of clients we work with, for 12 months after our last contact or the end of the engagement. Invoices, contracts and other financial records are kept for six years from the end of the financial year they relate to, as the law requires.
Your rights
Under UK data protection law you have the right to request access to your personal data, to ask us to correct or erase it, to restrict or object to how we use it, and to ask for a copy in a portable format. Where we rely on consent, you can withdraw it at any time. To exercise any of these rights, email [email protected]. We will respond within one month.
If you are unhappy with how we have handled your data, please contact us first. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
